Project Objectives

Automate and enhance the payment recovery lifecycle through high performance, serverless infrastructure.

Deliver a centralized and intuitive payment platform that is HIPAA compliant and capable of handling partial payments, billing summaries, flexible plans, and statements in one place.

Modernize patient intake systems while ensuring smooth interoperability with legacy hospital systems and workflows.

Introduce a dynamic and scalable API abstraction layer for real-time eligibility checks and insurance verification, minimizing manual interventions.

Empower the leadership team with enterprise-grade analytics through a robust data warehousing solution, 100+ Power BI reports, and 1000+ DAX measures for faster, more accurate decision-making.

Core Challenges

Fragmented Payment Recovery Processes

The legacy systems lacked automation and scalability in engaging patients for payment recovery. Manual interventions, disparate outreach mechanisms, and delayed messaging led to poor response rates and a high rate of uncollected dues. Moreover, time-zone-specific patient communication and retry logic were non-existent, resulting in inefficiencies and inconsistent financial outcomes.

Lack of a Unified, HIPAA-Compliant Payment Interface

Patients were left to navigate multiple disconnected portals or communication threads to access bills, statements, and payment options. The absence of a centralized, intuitive, and regulation-compliant payment ecosystem created friction in patient experience and internal support workflows.

Outdated Patient Intake Technology

The patient intake platform relied on an older tech stack, making it difficult to keep pace with modern UX standards and partner integration needs. It was also loosely coupled with Millennia’s newer digital services, limiting its role in the broader revenue cycle journey.

Eligibility and Insurance Verification Delays

Many healthcare facilities struggled with real-time eligibility checks during patient intake. Manual processes or disparate system calls led to delays in insurance validation, missed revenue opportunities, and administrative overhead.

Lack of a Scalable Analytics Infrastructure

Decision-making was hindered by outdated reporting systems, slow data refresh cycles, and inconsistent data between internal and client-facing views. Executives lacked the insights needed for revenue forecasting, payment performance analysis, and anomaly detection.

Solution
1

Serverless Patient Payment Recovery Engine

Intelligent Recovery Automation Platform

To solve the lack of automation in payment recovery, Imenso developed a standalone serverless platform powered by Amazon Web Services AWS Lambda with integrations to Twilio and SendGrid. The system automated large-scale daily communication workflows based on patient preferences and regional logic.

Smart Communication & Analytics Engine

The platform included intelligent scheduling for geo-based message timing, retries, and escalation workflows. It also provided real-time tracking, delivery insights, and administrator dashboards while securely connecting with payment gateway APIs.

2

HIPAA-Compliant Patient Payment Ecosystem

Centralized Patient Payment Portal

Recognizing the need for a seamless and patient-friendly payment experience, Imenso developed a comprehensive portal with full HIPAA compliance. The platform unified billing, payments, and account access into one secure interface for greater transparency and convenience.

Secure Payments & Billing Visibility

The portal enabled secure login with advanced access controls, full or partial payments, and customizable payment plans. Patients could also view real-time billing details, payment history, and receive automated reminders for due dates and plan progress.

3

Patient Intake System Modernization

Modernized Intake System Experience

To maintain a competitive edge and meet modern UX standards, Imenso re-engineered the legacy intake system using Angular. The new platform delivered a faster, modular, and fully responsive user experience while preserving existing business processes.

Secure Integration & Workflow Flexibility

A robust integration layer enabled real-time synchronization with legacy systems. The solution also included custom components for different hospital workflows, branding needs, and role-based access for intake stakeholders.

4

Real-Time Eligibility & Insurance API Layer

Unified Insurance Verification Layer

To solve insurance verification challenges, Imenso developed a dynamic API abstraction layer that unified integrations with public Centers for Medicare & Medicaid Services systems and private Waystar APIs. This created a flexible plug-and-play solution across multiple applications and facilities.

Real-Time Eligibility & API Reliability

The system enabled real-time patient eligibility checks during intake for faster verification. It also included retry logic, fallback mechanisms, and monitoring dashboards to track API performance, success rates, and response statuses.

5

Enterprise Analytics Infrastructure

Business Intelligence Ecosystem

To unlock advanced business intelligence, Imenso implemented a scalable data infrastructure with ETL pipelines, SQL Server Analysis Services cubes, and Power BI live dashboards. This gave Millennia real-time visibility, historical insights, and data-driven decision support.

Predictive Analytics & Reporting Hub

The solution included custom data pipelines, multidimensional reporting models, and 200+ dashboards powered by 1000+ DAX measures. It also enabled revenue forecasting, anomaly detection, secure report embedding, and structured documentation through Confluence.
